Boot Barn Hall is a high-energy concert venue that hosts live performances in an intimate setting. With an increasing number of events and a focus on streamlining reporting and sales tracking, they needed a ticketing system flexible enough to create packages, track event-wise sales trends, and export detailed data quickly.
THE CHALLENGES
The venue faced several challenges that required custom solutions:
- No Option for Combined Event Discounts: Boot Barn Hall often hosted multiple shows across a weekend or season and wanted to offer bundled discounts for people attending more than one event. Their current system didn’t allow for event-package deals, which limited their ability to incentivize multi-event bookings.
- Limited Visibility Into Long-Term Sales: They needed a dashboard to see all-time sales progress, not just the last 30 days. The current Event Sales Dashboard only displayed recent data. This made it hard to track overall performance and trends.
- No Dashboard for Specific Events (Past or Ongoing): There wasn’t a way to analyze sales trends individually per event, including both completed and active ones, on a single dashboard. This made retrospective analysis more time-consuming.
- Lack of Daily Sales Breakdown: For financial tracking and strategic planning, they wanted a report that showed exactly how many tickets were sold each day for a specific event and at what pricing tier. This data was not readily available in their old reporting setup.
- Trouble Exporting Scheduled Report Configurations: The team scheduled several recurring reports but couldn’t get a CSV export showing all the settings and filters applied to each. This made it hard to audit or replicate scheduled reports.
SOLUTION: Yapsody’s Tailored Approach
Yapsody collaborated closely with the Boot Barn Hall team to develop features aligned with their needs:
- Introduced Package Discounts: We added a new “Package Discount” type under the existing discount system. This allows them to combine multiple events under one discount, helping boost multi-show bookings. We developed this feature as an addition to our global discount functionality, letting them choose specific events to which to apply the package deal.
- Added All-Time Sales Dashboard: We built a button inside the Event Sales Summary Report called “Sales Dashboard” that shows full sales data from the event’s launch date up to the current moment. This provides a more complete picture of sales history. This enhancement works alongside the original 30-day dashboard, giving them extended visibility.
- Built Event-Specific Sales Dashboards: Now, they can view individual dashboards for any event, past or present, to analyze ticketing trends with ease. We created event-wise dashboards that support both completed and ongoing events.
- Developed Daily Sales Breakdown Reports: We delivered a custom report that shows how many tickets were sold each day for a selected event, including the pricing tier of each ticket. This helped the team understand demand peaks and optimize pricing. This report was built specifically for their internal planning needs.
- Enabled Export of Scheduled Report Settings: A new CSV export option now pulls every setting used in scheduled reports, helping the team at Boot Barn Hall review, audit, and replicate report configurations. We added this capability to their Schedule Ticket Count Reports under the Gainesville account.
